Overview: You will be writing a professional quote.

Purpose: Knowing how to write a clear quote and invoice is essential because it provides transparency, and it gives both you and the customer a clear idea of the overall cost of a job. A well-written quote conveys professionalism.

Due date: Friday, February 13

Note: You may work with a partner, but you will receive the same grade for the written quote.

Assignment Details

Context: The Dunnville Lifespan Centre (DCLC) in Dunnville, Ontario has contacted Zeus Construction in Hamilton because theyre experiencing ongoing issues with part of their building.

Theyve reported that:

  • A large multi-purpose room isnt functioning properly
  • The issue affects daily programs, events, and rentals.
  • The facility manager has contacted Zeus Construction to inspect the problem, diagnose it, and propose either a repair or a replacement solution.
  • Zeus Construction is sending you, their employee, to do the inspection and to prepare a professional written quote and invoice for the proposed work, including a brief description of what youll do, estimated labour, materials, and total cost.

Your task is to

  • Suggest a repair, replacement, and/or maintenance package
  • Write a clear, itemized quote for the work. Address the quote to the DCLC Board Chair. His name is Elton Juan.

Required Content Written Quote

Company Information:

  • Name, address, and contact details of the company
  • Your name (since you are representing the company)

Customer Information:

  • Name, address, and contact details of the customer requesting the service.

Service Information:

  • Type of Service: Whether it’s a routine maintenance checkup, seasonal service, or emergency service.
  • Equipment Type: The HVAC systems being serviced (e.g., furnace, air conditioner, heat pump, etc.)
  • System Details: Manufacturer, model, and serial number of the equipment to be serviced

Scope of Work:

  • An overview of the work that will be performed during the maintenance, such as cleaning, inspections, replacements, safety checks, etc.
  • Your customer needs to understand what they are paying for and why

Labour Charges:

  • Estimated time for completing the tasks and the hourly rate for the technicians labour.
  • Some people choose to include a bit more detail to explain the number of hours needed

Parts and Materials:

  • If you select an install, include the model number of the new replacement equipment.
  • If any other parts need to be replaced, these will be listed with individual costs. This can include items like air filters, refrigerant, capacitors, and other components that might wear out over time

Total Cost Estimate:

  • The overall price that the customer will pay for the service, which includes the labor charges, parts, and any other applicable fees (e.g., diagnostic fees, disposal fees, taxes etc.).
  • If you are selling a maintenance package, break it down for the customer

Terms and Conditions:

  • How long is it valid?

Warranty Information:

  • Any warranties provided on the parts or labor after the service is completed

Payment Terms:

  • Is there a deposit?
  • The payment schedule (whether full payment is required at the time of service, or if a payment plan is available) and accepted payment methods (credit card, cash, etc.).
  • Any additional information such as discount offers, terms of service, or exclusions (e.g., if certain repairs are not included in the quoted price).

  • Include a place for the customer to sign and date before you proceed with the work.
